Exhibitor Regulations

Contract Terms & Conditions

  1. Every exhibit must be properly installed and ready for inspection by 9:00 am on the opening day of the show November 20, 2024 and must REMAIN INTACT UNTIL 4:00 pm CLOSING DAY of the show on November 21, 2024. Failure to meet these requirements may cause exhibitor (Lessee) to be barred from future shows.
  2. Every exhibit shall be prepared in a neat and orderly style and must be kept clean by the Lessee during the entire show.
  3. The booth space, as stipulated in this contract, is to be used solely for the Lessee named in this contract for GATEWAY 2024 and cannot be transferred or any portion of it sublet by the Lessee or his/her agents.
  4. Gateway/Kearney Farm Expo, Inc. and Buffalo County Ag Association (Lessor) will use all reasonable care to prevent loss or damage to Lessee's property but are not liable in any manner for such loss. Lessor is not responsible for any damage or theft of exhibits, merchandise, equipment or other property owned by or in the custody of the Lessee. This includes any property while in the care, custody or control of the Lessor, or representatives of the Lessor.
  5. Lessor reserves the right to control the use of any volume of any loudspeaker, radio, musical instrument or any noise making device that might interfere with Lessees in the immediate area. Public address systems cannot be used.
  6. Past Lessees will have until February 1, 2024, to receive priority consideration of booth location (e.g. last year’s booth or similar location). The event management has the right to make booth assignments as necessary to accommodate Lessees.
  7. 50% of the “Total Registration Cost” is due with this completed contract. The balance of the total registration cost is due by September 1, 2024. Contracts received after June 1, 2024, require payment in full with contract.
  8. A refund of 50% of your “Total Registration Cost” will be made if space is canceled before September 1, 2024. No refunds will be made after September 1, 2024.
  9. Dividers will be furnished for inside exhibit spaces at no additional cost. NO inside exhibit shall be constructed in such a way that it will interfere with the viewing of the exhibit next to it. Inside exhibits must be within the framework of the exhibit dividers.
  10. No electrical connections will be made except by electricians employed by the Lessor and electrical fees are paid in full. 110v electricity is provided. 220v electricity is available in select areas for $75, for specific locations contact event management. Lessor shall not be responsible to Lessee for loss of time or revenue due to power interruptions and utility failures. Lessee must furnish extension cords to connect electricity (inside or outside).
  11. Lessor will assume no liability for Bodily Injury, Death or Property Damage arising from the existence or operation of Lessee's exhibit or activities. Lessee agrees to defend at its own expense, indemnify and hold harmless the Lessor from any and all liability penalties, damages, cost expenses, causes of action and claims of every kind and nature arising from illness, death, bodily injury or property damage to any person or property, occasioned by or growing out of any way connected with the occupation or use of the leased premises or activities associated therewith.
  12. Lessee agrees to carry Public Liability Insurance, including Product Liability coverage, with Limits of Liability to be at least $100,000 Bodily Injury each occurrence, $300,000 Bodily Injury aggregate, and $100,000 Property Damage each occurrence. Said insurance must be in effect at any time in which Lessee is making any use of the premises. A certificate of insurance is not required by the Lessor.
  13. Vehicles and/or equipment which are a part of the permanent display must be in place on the exhibit lot by 8:00 am each day of the show. Vehicles and/or equipment which are not part of the permanent exhibit will not be allowed in the show area.
  14. Any property of Lessee left on show premises after November 22, 2024 will become the property of the Buffalo County Ag Association.
  15. Remittance must be received before this contract is valid. No Lessee will be allowed to set up their display until ALL exhibit space fees and electrical fees (if any) are paid in full. Prior to setting up exhibit display, the Lessee must check in to verify all fees have been paid.
